Hotel Reservations

Methods of Reservation

   You can use one of the following methods to reserve a hotel in Moscow:
  • Fill in and transmit a reservation form on our website. To do so, use the "Reservations" link on the chosen hotel's page.
  • Send a reservation request by email: info@moscow-hotels-russia.com
  • Send a reservation request by fax: +7 (495) (for St. Petersburg: + 7 (812) 233-8283 )
  • Make a reservation over the telephone: +7 (495) 626-0391 (for St. Petersburg: +7 (812) 325-4044)

Payment Terms

   A reservation and full payment of hotel accommodation should be completed no less than 3 work-days before arrival date or commencement of services. To make a reservation less than 3 days before arrival date, contact us.
   During a high season, all the hotels lay down special payment and cancellation terms.

Forms of Payment

   We welcome payment by any of the following methods:
  • Bank transfer
  • Credit card
  • Cash (this option is available only for travelers in Moscow)
  • Check (for USA)
   If payment is made by bank transfer, a bank service fee of 10 USD applies. Note that all bank charges on money transfers are to be paid by the sender.

Information Needed for Hotel Reservations

   To make a reservation by phone or fax, please, provide us with the following information:
  • Full name
  • Arrival date and departure date
  • Hotel name
  • Type of room
  • Number of guests
  • Form of payment
  • Company name
  • Additional services (airline tickets, transportation, etc.)

Cancellation and Change Policy

   All changes and additions to your reservation request should be made in written and sent us by fax +7 (495) (for St. Petersburg: +7 (812) 2338283) or email. To avoid misunderstanding of any sort, it is necessary to have a confirmation from our staff.
   We operate a cancellation policy and reserve the right to charge the equivalent of one night's accommodation for any cancellations received less than 3 days before arrival date or in the event of a no show.
   During a high season, hotels may lay down special cancellation terms.

Airline Ticket Reservations

Airlines and Commission Fees

   Optima Tours reserves and issues airline tickets for most international and Russian airlines. Owing to our specialty, we can provide you with consolidator fares for the world’s major airlines.
   A commission fee of 7 USD applies:
  • For tickets invoiced on proper forms and issued for domestic airlines, such as Pulkovo Airlines, Siberia Airlines, Samara Airlines, Ukraine Airlines, KrasAirl, Ural Airlines, Kaliningrad Airlines, Arkhangelsk Airlines, Turkmenian Airlines, Kavminvody, Kyrgyzstan Airlines, Dalavia, Kogalymavia, Tatarstan Airlines, Astanaair, Airline Russia, Belavia, Odessa Air.

   A commission fee of 12 USD applies:
  • For tickets issued for international airlines AIR FRANCE, FINNAIR, KLM, SAS, LOT, LUFTHANSA, BRITISH AIRWAYS, AUSTRIAN AIRWAYS, MALEV, OLYMPIC AIRWAYS, AIR MALTA, and others.

   A commission fee of 4 % from the main rate applies:
  • For tickets issued for international and domestic flights of Aeroflot Airlines.

Delivery

   To deliver tickets we use express mail delivery services such as FedEx. Note that a delivery service will be charged depending on destination and service used. We will deliver tickets to your home or office after you have fully paid for your tickets.
   We can also deliver your tickets free of charge in Moscow, Russia. Delivery in Moscow is carried out from 9.30 a.m. to 6.30 p.m. at agreed time. For more information on delivery, contact us.

   If payment is made by bank transfer, a bank service fee of 10 USD applies. Note that all bank charges on money transfers are to be paid by the sender.

Terms of Return

   Any unused airline tickets can be returned. If you return your ticket at least 24 hours before take-off, no cancellation fees apply.
   If you return your ticket less than 24 hours before take-off, the following cancellation fees apply:
  • 10% of paid fare - less than 24 hours but more 3 than 3 hours before take-off
  • 25% of paid fare - less than 3 hours before take-off and after take-off
   Money for the unused ticket can be received during 30 days of take-off date, at the place of purchase. Commission fees, paid at purchase, are not refundable. Note that only original tickets can be returned.

Train Ticket Purchasing

Commission Fees

   Optima Tours charges a service fee for each issued seat on the train. The service fee is 25 USD.
   We will be glad to offer our regular customers discounts for any service we provide.

Terms of Return

  • To return tickets passengers should produce original tickets and passports.
  • Tickets can be returned only at the railway station. Train tickets cannot be returned in our office.
  • The service fee of 25 USD and commission fee, determinate by Ministry of Transport of the Russian Federation, is not refundable.
  • The total price of a ticket consists of a reserved ticket cost and a berth cost. If you return your ticket no less than 8 hours before departure, the full price will be refunded except for our service fee and commission fee as stated above.
  • If you return a ticket less than 8 hours before departure and no less than 2 hours, 50% of the price of berth is not refundable.
  • If you return a ticket less than 2 hours before departure and no more than 3 hours after departure, 100% of the price of berth is not refundable.
  • When you return a ticket, a return ticket fee of approximately 1,5-2 USD applies.
  • Tickets can be returned at the railway station no later than 3 hours after train departure.

Payment Terms

  • A non-refundable deposit of the price of services reserved for the first day is required within 7 calendar days of booking.
  • A full payment of a tour should be completed no less than 5 days before commencement of services, provided no other arrangements were made.
  • For group tours specific terms and conditions apply, depending upon a number of visitors, hotel accommodation, and season. You can always contact us for more information.

Cancellation Policy

   We operate a cancellation policy and reserve the right to charge a cancellation fee for cancellations on the following basis:
  • If we receive a cancellation no less than 5 days before commencement of services, you will receive the price of the tour except for a deposit of the price of services reserved for the first day.
  • Travelers canceling less than 5 days before commencement of services will receive 50% of the total tour price. At that, a cancellation fee cannot be less than the price of services reserved for the first day.
  • When you cancel, the price of some components of a tour cannot be refunded. These components include theater tickets, event tickets, museum admissions, and so on.
  • All changes and additions to your reservation request should be made in written and sent us by fax +7 (495) (for St. Petersburg: +7 (812) 2338283) or email. For the avoidance of misunderstanding of any sort, it is necessary to have a confirmation from our staff.

Apartment Reservations

  • In case you cancel no less than 8 days before check-in, a cancellation fee will be the price of one night accommodation (but not less than 100 USD).
  • In case you cancel less than 8 days but no less than 3 days before check-in, a cancellation fee will be 50% of accommodation price (but no less than the price of two night accommodation).
  • In case you cancel less than 3 days, the price of accommodation will not be refunded.
  • In case you postpone your arrival date or want to leave earlier than your departure date according to a reservation, there will be a cancellation fee. If you change dates no less than 8 days before check-in, a cancellation fee will be the price of one night accommodation. Otherwise, a cancellation fee will be 50% of accommodation price (but no less than the price of two night accommodation).
